Active - Best Practices for Changing Email Address

Issue: Users may sometimes want to change their email address. Here is a guide on the best practice, ensuring the user logins in Active line up with any integrations.

Resolution:

Check Central for Integrations:

- Navigate to Central and search for the firm in question.

- Go to the "Connections" section to see if there are any integrations set up.


a) **If Integrations Exist: Then for each integration check if they have 'User sync' enabled.



If user sync is enabled, then the easiest way for the customer to change their email addresses for will be to change existing emails in XPM (or their relevant integration). Advise the client not to add a new user but rather to change existing emails in XPM.

Once those existing email addresses are updated in XPM, wait for the next XPM sync. This will trigger the change of emails in Active.

Note that this process may take 15-30 minutes after the XPM sync has completed. Afterward, ask users to sign into Active with their new email.

If users can log in with the new email but can't open their binders, Stefan will rollout a feature that allows users to review their SharePoint access within the product. In the meantime, removing and readding doc licenses will allow these users to relink with Microsoft/SharePoint.

b) If No Integrations Are Set Up: Simply instruct each user to log in to https://identity.businessfitness.com.au/ and update their email in the profile section.


c) If Using FYI with Active: Test the FYI integration to ensure it's working fine. Users may need to similarly change their email address in FYI as well. (If necessary, setup the integration to FYI using the steps provided in the FYI article again: https://support.businessfitness.com/en/support/solutions/articles/5000886782-how-to-set-up-and-use-active-fyi-integration)

d) If Using Smart Workpapers only: If the firm is only using Smart workpapers, then follow the steps outlined in point b above.

**Should the user choose to create a new user in XPM (instead of updating existing users' email address), The XPM sync will create a new user in Active. Note that in this scenario, users may duplicate in Active to accommodate both the clients linked to the old user in XPM and those linked to the new users in XPM.
