The HowNow Email Manager is an Add-in for Microsoft Outlook that provides an easy way to Add emails to HowNow by prompting users to save emails on Sending and Deleting emails.
By default the HowNow Email Manager adds the following to the Microsoft Outlook window:
a HowNow Add button in the Ribbon
the HowNow menu option under File in the Outlook menu bar
a HowNow folder under the Inbox of Outlook, which will have Sent and Received sub-folders
The HowNow Email Manager also adds the Add to HowNow button on the ribbon of each Outlook Message window.
More information about the settings in the Email Manager Add-in and how to install it can be found here.
Email Manager will prompt you to save your email into HowNow each time you send or delete an email. The email will be saved with attachments included as part of the email. Attachments can be saved to HowNow independently.
There are two methods of saving emails:
File Automatically
Fast file allows you to file your emails directly from Outlook, bypassing the New Document Filing Wizard in HowNow. You will be presented with a list of clients or areas to save the email against. This list is built from matching clients to the email by the email address and recent areas you have filed records to. You are able to select a client or area, change the meta data for the record (title, description, keywords) and click add to save this email to HowNow records using your firms default record location.
It is important to note that a default "Profile Location" is required to be set-up before using this method of filing emails. See more information about setting up records locations here.
Advanced Profile
The other method of filing an email is to use the Advanced Profile button. This option is available when more flexibility is required when filing an email.
When the Advanced Profile button is selected, the filing wizard will appear and you have the ability to select the the Client or Administration area, the location, along with adding employee roles or assign a task. Visibility can also be assigned to the email if required.
